Privacy Policy

Last updated: November 2026

This is a template policy provided as a starting point. It should be reviewed and adapted by qualified legal counsel before publication, to reflect your organization's actual data flows, jurisdictions, and regulatory obligations.

ORBIT ("we", "us", "our") operates a recruitment and workforce placement platform connecting candidates, OEPs, HR companies, and employers for overseas job placement. This Privacy Policy explains what personal data we collect, why we collect it, and how it is used, shared, and protected.

1. Information We Collect

Depending on your role on the platform, we may collect:

  • Candidate data: full name, date of birth, gender, marital status, nationality, passport and national identity numbers and their supporting documents, contact details and address, photographs, employment and education history, health declarations, and visa/travel records.
  • Agent, HR company, and employer data: business name, contact person, email, phone number, business address, and financial/ledger records related to placements and payments.
  • Account data: login email, hashed password, role, and activity/access logs.
  • Technical data: IP address, browser type, and session information collected automatically when you use the platform.

2. How We Use Your Information

  • To create and manage candidate, agent, HR company, and employer profiles.
  • To process job placements, contracts, visa applications, and travel arrangements.
  • To process and record payments, invoices, and ledger transactions.
  • To communicate updates about applications, placements, and account activity.
  • To maintain the security, integrity, and audit trail of the platform.
  • To comply with legal, immigration, and regulatory requirements in the relevant jurisdictions.

3. How We Share Your Information

Personal data is shared only as necessary to deliver the recruitment service, including with:

  • The OEP or HR company managing a candidate's placement.
  • The prospective employer to whom a candidate is submitted or assigned.
  • Government, embassy, and immigration authorities where required for visa and work-permit processing.
  • Service providers who help us operate the platform (e.g. hosting, email delivery), under confidentiality obligations.

We do not sell personal data to third parties.

4. Data Retention

We retain personal data for as long as necessary to fulfil the purposes described in this policy, including ongoing legal, immigration, and financial record-keeping obligations. Archived records may be retained for a defined period after a candidate, agent, or company profile is no longer active, after which they may be permanently deleted or further anonymized.

5. Data Security

We apply access controls, role-based permissions, encrypted password storage, and watermarking of exported documents to reduce the risk of unauthorized access, disclosure, or misuse of personal data. No system can guarantee absolute security, and we encourage users to safeguard their own login credentials.

6. Your Rights

Depending on your location, you may have the right to access, correct, export, or request deletion of your personal data, and to object to or restrict certain processing. See our GDPR page for details on exercising these rights.

7. Cookies

The platform uses cookies necessary for authentication and to remember your preferences. See our Cookie Policy for details.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
